Privacy policy

The Roosevelt Foundation was established in 1982 to organise the Four Freedoms Awards Ceremony in Middelburg every even-numbered year. In doing so, the Foundation works closely with the Franklin and Eleanor Roosevelt Institute in Hyde Park, New York. The Roosevelt Foundation strives to inspire young and old to keep the legacy of Franklin and Eleanor Roosevelt alive and to use their spirit to solve the problems of our time.

The Four Freedoms Awards ceremony honours individuals and organisations working to promote the four freedoms around the world. The award ceremony takes place in New York in the odd-numbered years and in Middelburg in the even-numbered years.

The Roosevelt Foundation team is hosted by the Province of Zeeland. This team has organisational, management and administrative tasks. The management of the website is also the responsibility of the Province of Zeeland.

The Province of Zeeland, which manages the website on behalf of the Roosevelt Foundation, is committed to handling your personal data carefully, securely, proportionately and confidentially. This statement shows how your personal data is handled and what your privacy rights are.

This privacy policy was last updated on August 18, 2022. You can always find the latest version on our website.

What is personal data?

By personal data we mean any information that tells us something about you or that we can link to you. This can be information that is directly about you or can be traced back to you. For example, it may be your name, your address or your bank account number.

What is processing?

By processing, we mean all the operations we can do with your personal data such as collecting, storing, recording, modifying, disclosing, transferring or deleting it.

Who is responsible for processing personal data?

The Province of Zeeland, on behalf of the Roosevelt Foundation, is the responsible party for processing your personal data as described in this privacy policy. Provincie Zeeland is located at the Provinciehuis, Abdij 6, 4331 BK Middelburg.

You can contact us at www.fourfreedoms.nl/en/contact or send an email to rooseveltfoundation@zeeland.nl.

Who is this policy intended for?

This privacy policy is intended for citizens and/or businesses who interact with the Roosevelt Foundation and for visitors of this website.

Why and what personal data do we process?

Contact form

When you use the contact form to send us a question about or to the Roosevelt Foundation, we need your first and last name and email address. We need this data to be able to answer your questions and it is used only for that purpose.

Newsletter subscription

If you wish to receive our newsletter, we use your name and email address. We only send newsletters if you give us permission to do so. You can always withdraw your consent again by using the unsubscribe link at the bottom of the respective newsletter or by sending a message with your unsubscription to rooseveltfoundation@zeeland.nl. We will then make sure that you no longer receive the newsletter in question and we will no longer process your personal data for the newsletter in question. The only thing we do record is that you have withdrawn your consent to receive that newsletter. We do this because we are required to demonstrate this.

Do we share your personal information with other parties?

The Province of Zeeland, as administrator of this website on behalf of the Roosevelt Foundation, generally does not provide your personal data to third parties without your prior consent, unless this is required due to a statutory provision, a public duty or a court ruling. We enter into a processing agreement with organisations that process personal data on our behalf. This agreement sets out the responsibilities and careful and secure handling of this data in accordance with the requirements of the General Data Protection Regulation (GDPR).

Will your data be transferred outside of the EU?

In principle, personal data should not be transferred to an organisation in a country outside of the EU. This is because within the EU there is good protection for personal data, and outside it not in all cases. Transfer includes storing (e.g. in the Cloud) or making personal data available to an organisation outside of the EU. We choose the safe side and generally do not allow processing outside the Economic European Area (EEA) if it is not necessary. These are all countries within the EU plus Liechtenstein, Norway and Iceland. The latter three countries have an equivalent level of personal data protection. In the exceptional case that there is no other way, the province, as administrator of this website on behalf of the Roosevelt Foundation, will only transfer personal data to a country outside the EEA or an international organisation on the basis of the approved agreements by the European Commission.

Do we do profiling as well?

Profiling refers to the automated processing of personal data that evaluates and attempts to predict behaviour, for example.

We do not use profiling.

How do we secure your personal information?

As administrator of this website, the Province of Zeeland, on behalf of the Roosevelt Foundation, takes appropriate measures to prevent abuse, loss, unauthorised access and other undesired actions with personal information. These measures are included in our information security policy and are in accordance with the applicable ISO27001 security standards and the Baseline Informatiebeveiliging Overheid (BIO), the Dutch baseline of information security.

Within the province, we use systems and standards to protect your personal information. We regularly update these systems and standards to comply with new regulations and developments in the market.

Besides technical security measures such as encryption of personal information and access controls on computer systems, employees have a duty of confidentiality and access to personal data is only given to employees who are authorised to do so. We ensure that your personal information is only accessible to employees who need it to perform their job or assignment.

Only employees for whom it is necessary to perform their work have access to (part of) the system in which your personal information is stored. Authorisation for access to the system is based on roles. Granting these authorisations is done via fixed procedures under the responsibility of the manager of the relevant organisational unit processing your personal information.

When determining measures, the current state of the art is always considered and security is adapted accordingly. For more information, see: Besluit van gedeputeerde staten van Zeeland houdende Informatieveiligheidsbeleid Provincie Zeeland 2019 - 2023.

How long do we store your personal information?

We do not store your personal information for longer than is necessary for the purpose for which we process your personal information. The personal information, which we process through the web forms (contact form), is kept by us for a maximum of three months and is then deleted from the website's database. We store the personal information required to send the newsletter for as long as you are subscribed to the respective email newsletter. You can unsubscribe from this at any time. You can do so via the link at the bottom of the email newsletter you receive. After unsubscribing, you will no longer receive an email newsletter
until you actively subscribe again.

What rights do data subjects have regarding personal information?

Under the GDPR, you have several rights when it comes to the processing of your personal information. When you want to invoke your rights, your identity is verified by us. This ensures that we are in touch with you. For example, to check your identity, a number of identifying questions are asked. To be able to process your request and carry out the check to establish your identity, the request must include at least name, address, place of residence and contact details, such as your e-mail address or telephone number. We use this data exclusively for processing your request and communicating about it.

If you want to know which personal data the Province of Zeeland, as administrator of this website on behalf of the Roosevelt Foundation, processes about you, you can submit a written request for inspection (Art. 15 GDPR).

Does it turn out that your personal information is incorrect, incomplete or irrelevant? Then you can make an additional request to have your personal information changed or supplemented (Art.16 GDPR).

Under certain circumstances, you have the right to request the province to delete your personal data, the so-called right to erasure (Art.17 GDPR). This may be the case, for example, in the event of unlawful processing.

If you wish to receive the (digital) personal information the province processes about you, you can invoke your right to data portability (Art. 20 GDPR). This means that you will be provided with your personal information in a structured, common and machine-readable form which, should you wish, you can easily pass on to another organisation.

You can also request that the processing of your personal information be restricted or to object to it (Art. 18 and Art. 21 GDPR).
